Role Overview
To maintain a clean and up-to-date database in the system, ensuring that all necessary documentation is processed efficiently to avoid any pre-clearing delays and demurrages at the border.
Key Responsibilities
Collaborative Communication
- Liaise with internal teams, including SMEs (Subject Matter Experts) and Controllers to ensure smooth clearing operations and effective communication of changes or updates.
- Make sure that emails sent to client are drafted in a way that the client understands the advantages of implementing the new process.
Pre-alert Documentation Management
- Collaborate with SMEs to ensure timely Confirmation on system generated emails and updates on any changes to the list of mandatory pre-alert documents.
- Ensure that the updated mandatory documents are accurately reflected in the database and communicated to all relevant parties.
- Ensure that NON-mandatory Documents are not a cause for any delay for border clearance.
Document Utilization
- Monitor the sharing and usage of documents among all parties involved to ensure that the correct and complete set of documents is being used throughout the clearing process.
- Track and resolve any discrepancies or issues regarding the document exchange process.
Monitoring KPIs
- Track and monitor the Key Performance Indicators (KPIs) for SMEs and Controllers, focusing on the efficiency and timeliness of document processing and clearing at the border.
- Identify areas of improvement, report on delays, and work with the team to ensure that delays at the border are minimized.
Data Management
- Ensure that all clearing-related data is accurately entered, stored, and maintained in the system for easy access and future reference.
- Regularly update and review the database to ensure that all information is current and correct to avoid any issues at the border.
Compliance and Process Adherence
- Ensure that all processes, documentations, and practices adhere to regulatory requirements and company policies.
- Stay updated on any regulatory changes that might impact the clearing process and ensure all teams are informed accordingly.
Role Requirements
- Proven experience in a clearing or logistics-related role.
- Strong understanding of customs regulations, border clearing procedures, and documentation.
- Excellent organizational and communication skills.
- Ability to work under pressure and meet tight deadlines.
- Strong attention to detail and data accuracy.
- Proficiency in MS Office and clearing software or databases.
- Ability to collaborate with multiple teams and stakeholders.
